RULES ANNOUNCEMENT

What needs to be pre-approved?

First off pre-approval is ONLY required if you are doing a reimbursement. Orders placed in Marketplace and Direct Pay do NOT need pre-approval.

This does NOT mean they do NOT need sufficient documentation. For technology purposes and items not considered part of the normal necessary and needed course materials you will still need to add documentation showing a class or curriculum or give details of how the items is to be used in a particular course or class or lesson when you place the order request in class wallet. There is simply no need to do a preapproval process first.

NOW for reimbursement, if it’s for curriculum, courses for core classes, or tutoring even if you are reimbursing it is NOT necessary to have those pre-approved.

For reimbursement of any Extra-curricular and co-curricular class and reimbursement of ANY furniture type items, Technology you will need preapproval.

THE PLAN IS ---If the reimbursement expense is recurring, you may reuse the initial approval for the full school year. You do not have to get a new one each month. THIS IS NOT YET FULLY APPROVED BY HIGHER UP INDIVIDUALS WHO NEED TO APPROVE IT BUT IT IS EXPECTED THAT THIS WILL BE ACCEPTABLE

IF THE PRICE CHANGES on a preapproved reoccurring expense, then that would then require a new pre-approval.

I highly recommend asking anyone you use for services to really consider becoming a direct pay as they do have plans, as Darrell stated in the webinars, to streamline approvals on payments for vendors with recurring services this fall and keeping those in a much tighter approval window. So, this option would be the best for parents and vendors alike.

Some examples

Reimbursement only tutor recurring = NO preapproval needed but they will need to supply a detailed receipt for the payment and proof of payment

Reimbursement only batting instructor = Get preapproval once for use all year (as long as the higher ups do approve reusing it)

Batting instructor increases prices = Get a new preapproval for the rest of the year (as long as the higher ups do approve reusing it)

Want to pay for reimbursement only online science class = no preapproval needed

Want to buy a microscope for the science class = preapproval needed

ALL TECH PURCHASES THAT ARE REIMBURSED NEED PREAPPROVAL

There will be more updates as they fully iron out the implementation. They have promised a detailed list of many items that will give acceptable prices on those items that will be available before August funding. As any firm decisions are made on the exact dates of all of the fundings next year, dates for webinars and any confirmed information on the rules or changes in classwallet, or required documentation I will update FAQ on the website AND announce those all here in the groups and pin them. All major updates will be blogged on the website main blog so if you do not check the computer often and do not want to miss new updates follow the blog.
